Privacy Policy

Who this policy covers
Bindr Home is software that new-home builders use to give each homeowner a digital closeout package: the rooms, products, warranties and documents of their home, and a way to ask for service. This policy covers the Bindr Home app and the emails it sends, for the people who use it: homeowners, buyers following a home being built for them, the staff of a builder, and the trades a builder works with.
Your builder decides what goes into your home's record and who on their team and among their trades handles your requests. Bindr Home runs the software and keeps the information on your builder's behalf. Your builder's own practices outside the app (their phone calls, their paperwork, their website) are theirs, not ours. Bindr Home is based in Manitoba, Canada.
What we hold
If you are a homeowner
- Your account: name, email address and phone number.
- Your home, as entered by your builder: address, possession date, rooms, products (with brand, model and serial number where known), finishes, warranties and documents.
- What you send through the app: service requests (the description, photos, how urgent it is and the times that suit you), messages on a request, your answer to a booked visit, and the rating you give afterwards. With a request the app also keeps a copy of any note from your builder it showed you while you wrote it, so your builder knows what you read.
- What you choose to add yourself: documents, maintenance you log, and your home insurance details.
- What you ask Hearth, the assistant in the app, the answers it gives, and the rating you give an answer if you choose to.
- Decisions you make in the app, with the name you type and the date: for example approving an upgrade.
- Your sign-off on the inspection at key day, if your builder uses it: your typed name, the signature you draw on their phone and the date, kept with the signed record in your documents.
- Your sign-off on a repair, if your builder uses it: your typed name, the signature you draw, the date and the photos of the work you were shown, kept in a record in your documents; or, if you say it is not fixed, what you wrote and any photo you added.
- Your answers to a survey your builder sends, if you choose to answer: your scores and comments. A comment is published on your builder's public reviews page only if you tick the box agreeing to it, under the short name you choose, and only if your builder then publishes it.
- Your preferences: the language you read the app in, and whether you agreed to text messages.
If you are a buyer whose home is being built
- Your account and the home being built for you, as your builder entered it: its milestones, the photos and weekly updates they share with you, and the selections you make for it. When you take possession, this becomes your home's record.
If you work for a builder
- Your name, work email, phone number and role, and the work assigned to you.
- What you record: notes, photos, status changes, and a log of changes that are hard to undo, kept with your name.
If you are a trade
- Your business name, email address, phone number and hours, as your builder entered them, and the insurance, WCB and licence documents your builder keeps for you, with their expiry dates.
- The work sent to you, and what you do from your link: acknowledging a request, proposing a visit, reporting work done, sending an invoice.
- Your replies to request emails, which are added to the request so the office and the homeowner can see them.
- Files you attach to those replies or add from your link (photos, a quote, a report). They are kept with the request for the builder's office; the homeowner sees one only if the office shares it.
For everyone
- Technical records needed to run and protect the service: when you were last active, error reports with personal details removed, and for public links the internet address a request came from, used briefly to stop guessing and abuse.
We do not collect payment card details: if your builder takes card payments for a paid repair or a maintenance plan, you pay on Stripe's own page and Stripe holds the card. We do not buy information about you from anyone.
How it is used
- To show you your home, its coverage and its documents.
- To get a service request to the right person: your builder's office, their own technician, or a trade, with your contact details, photos and availability so they can act on it.
- To book visits and tell you what is happening, in the app and by email.
- To send the reminders and notes your builder sets up, such as warranty deadlines and seasonal care.
- To keep a record of what was requested and what was done, for you, your builder and whoever owns the home next.
- To keep the service working and secure, and to fix faults.
We do not sell your information, share it for advertising, or use it to build advertising profiles.
Hearth, the assistant
Hearth answers questions about your home inside the app. To answer, it reads the parts of your own home's record that the question needs (your products and their warranties, your open requests, the documents your builder gave you), your builder's own articles and answers, and Bindr Home's general articles on looking after a new home. It never reads another homeowner's home or another builder's content. When you describe a problem, it can draft a service request for you to review; nothing is sent until you send it yourself. When your builder has written a note about the kind of problem you ask about, the app shows it under the answer in your builder's own words; Hearth does not write or change it.
Your question and that context are sent to an AI model run by a provider in the United States (Groq, or Cloudflare when Groq is unavailable). Those providers process it to produce the answer and may not use it to train their models. Your name and contact details are not sent with it.
Your chats are saved so you can come back to them, and so Bindr Home can see which questions go unanswered and write better content. Bindr Home staff can read them for that purpose. Your builder's office cannot read your chats; it sees only the wording of questions Hearth could not answer, without your name or address, so it can write the answer. You can delete any chat yourself from Past chats. Hearth is an assistant, not your builder: its answers are information, it can be wrong, and your builder decides what is covered.
The same AI models help a builder's office in two places, if the builder turns them on: drafting a weekly update for a buyer from the site notes of their home, and reading a product's specification sheet to fill in its details. A person at the office reads and edits every draft before anything is kept or sent.
Who can see it
- Your builder's staff can see the information tied to the homes they built.
- A trade assigned to your request receives what they need to do the work: your name, address, phone number, the description, your photos and the times that suit you. A trade sees only the work assigned to them.
- Anyone you give a share link to can read your closeout package for as long as the link is on. You can turn it off at any time.
- Your builder can connect its own business software (for example its accounting or scheduling system) to Bindr Home. What that software receives about its homes and requests is then handled under your builder's own practices.
- If your home is sold, its record (the products, warranties, documents and service history) stays with the home, so the next owner and the builder have the full history.
- Bindr Home staff can access information when that is needed to run, support or fix the service.
Other homeowners cannot see your home, and other builders on the platform cannot see your builder's homes. That separation is enforced in the database itself, not only in the screens. We may also disclose information where the law requires it.
The services we rely on, and where information is kept
We use a small number of service providers. Each receives only what it needs for its job:
- Clerk, for signing in.
- Supabase, for the database and for stored files such as documents and photos.
- Resend, for sending email and receiving replies to request emails.
- Vercel, for hosting the app, and for counting page views without cookies and without identifying you.
- Sentry, for error reports, with personal details removed.
- Groq and Cloudflare, for the AI models behind Hearth and the office's drafts. They receive a question and the context needed to answer it, nothing that identifies you, and may not use it to train their models.
Only where a builder turns the matching feature on:
- Twilio, for text messages, sent only to people who agreed to receive them.
- Stripe, for card payments for paid repairs and maintenance plans.
- Intuit QuickBooks, for sending a builder's purchase orders and trade invoices to its own accounting.
- Your browser's push service (from Apple, Google or Mozilla), for notices on your device if you allow them.
- Open-Meteo, for the weather in a home's town on the builder's site diary; it receives the town's name only.
These providers store and process information outside Canada, mainly in the United States. By using Bindr Home you consent to that. While it is there, it is subject to the laws of that country, and courts or law enforcement there may be able to obtain access to it.
Email and text messages
We send messages about your home and your requests: a request was received, a visit was booked, work was completed, a deadline is coming up, a note from your builder, or a short survey about your home. These are service messages, not marketing. If you reply to a request email, your reply is added to that request.
Text messages are sent only if your builder has turned them on and you agreed to them: for example a reminder the day before a visit. Reply STOP to any text to stop them; you can also change your choice on your account page.
Cookies and what is kept on your device
- Sign-in cookies, so you stay signed in. The app does not work without them.
- Your preferences, kept in your browser: light or dark appearance, and whether you dismissed a prompt.
- For builders' field staff: a photo or note taken with no signal is kept on the phone until it can be sent, then removed from it.
We do not use advertising cookies or trackers that follow you across other sites.
How it is protected
- Information is encrypted on its way between your device and the service, and where our providers store it.
- Each builder's information is kept apart from every other builder's in the database, and automated tests try to cross that line on every change to the app.
- The app's code and the software it uses are scanned for known weaknesses on every change.
- What a person can see and change depends on their role.
- Documents and photos are private: they are opened through links that expire.
- Changes that are hard to undo are logged with who made them and when.
No system is perfectly secure. If a breach of our safeguards creates a real risk of significant harm to you, we will tell you and the Privacy Commissioner of Canada, as the law requires.
How long it is kept
- A home's record is kept for as long as its builder uses Bindr Home. New-home warranty coverage runs for up to ten years, and the record is what lets you, your builder and a later owner see what was covered and what was done.
- Your account details are kept while your account is in use, and removed on request (see below).
- Your Hearth chats are kept while your account is in use. You can delete any chat yourself, and they are removed with your account.
- Backup copies of the database are kept for 14 days.
- Technical records are short-lived: records used to limit abuse for about two days, the log of sent messages for about four months, and the log of received emails for about six months.
Your choices
- You can change your name and phone number yourself on your account page.
- You can turn a share link or a calendar subscription off at any time.
- You can ask for a copy of what is held about you, ask for it to be corrected, withdraw your consent, or ask for your account to be removed. Start with your builder, who administers your account; they can act on it or pass it to us. You can also write to us directly.
We answer these requests within 30 days. Removing your account does not erase the home's service history, which stays with the home; it removes your sign-in and your contact details from it. Some records may have to be kept where the law requires.
Children
Bindr Home is for adults who own, build or service homes. It is not meant for children, and we do not knowingly hold information about them.
Changes to this policy
When the app changes in a way that affects this policy, we update this page and its date. If a change is significant for you, we will tell you in the app or by email.
Questions or complaints
Start with your builder's contact, shown on your Contacts page in the app, or write to Bindr Home at support@bindrhome.com. If you are not satisfied with how a concern was handled, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca), which oversees Canada's federal private-sector privacy law (PIPEDA).
